Copiers

FAQs

The 4.5 cents for black & white and 20 cents for color rates will be in effect through the end of FY25. An annual rate analysis will be performed going forward to determine if adjustments in the cost structure make sense based on usage.

One person from each department should be designated to order supplies.  To order paper, complete a Facilities Work Request through the TMA system. To pick up toner and staples, stop by Printing Services in 105 McBryde or email printingservices@winthrop.edu with your need to have it delivered to you.

Only 8.5x11 (letter) and 11x17 (tabloid/ledger) copy paper will be provided.

There are two ways for faculty and staff to log in to your account on the new copiers. 1) Your Winthrop username and password 2) your Winthrop ID card with proximity scan.

In order to use your Winthrop ID card to log in, faculty and staff will need to first determine if they already have a proximity scan ID card. To do that, look at your existing ID card. On the back side, on the bottom left under the swipe bar, if you see HID, you already have a proximity scan ID card. Hold the card near the card reader on the copier – the first time you use it, you will have to log in with your Winthrop username and password as well to associate the ID card with your Winthrop account.

If you check your ID card and it does not have HID in small letters in the bottom left corner on the back side of your ID card, faculty and staff can go to Technology Services in the basement of McBryde to get a new proximity scan ID card. You will need to bring your old ID card and ask Technology Services staff for a replacement proximity ID card. There is no charge for this.

You can go to Technology Services any time they are open, but if you can wait until January, that is preferred.

If you have a Windows computer, the Copier on print2022 printer should be in your list of printers already (you may want to make it your default printer). If you have a Macintosh computer, contact the Helpdesk to be networked/mapped to the copier print queue.

Yes, when you print to “Copier on print2022” your copy job will go into a campuswide print queue. You may walk up to any machine, log in (via username and password or ID card) and release your print job.

You must physically release your print jobs with your ID card or code at the machine.

All jobs will be purged after 24 hours if they are not released to print.

A person can send a print job and release it within 24 hours. If you need to be able to print to the copier and have another individual pick up your print, email printingservices@winthrop.edu and we can set up another person as your print proxy.

Email printingservices@winthrop.edu if you need to add new employees in your department to your printing budget. If an employee has moved from one department to another, Printing Services can make that billing adjustment as well. If an employee leaves the university, they will be removed from the budget automatically.

Once you log in to the machine, you should see each budget that you work with in a list. If you do not, e-mail Printing Services to have them add the budget that is missing to your options.

Yes, student employees will be able to use the departmental code to release jobs at the copier. E-mail Printing Services if you need a student account set up for your budget.

Per the revised Acceptable Use Policy, the following are not permitted:

6.1.16 Using or installing software not licensed or approved by the University’s Computing and Information

    Technology Department.

6.1.17   Installing or using hardware or peripheral equipment not specifically approved and authorized by the University’s Computing and Information Technology Department or using approved equipment in a manner inconsistent with the approved purpose for which the equipment was installed.

In general, employees should limit the use of personal equipment in a work setting.

There will be exceptions for ADA compliance and possibly other considerations, but the process will be stringent to justify an exception. Printers allowed as exceptions will be monitored and charged at a separate, and higher, rate.

All printers are Winthrop property. When a printer is removed that has been newly purchased, it will be redeployed for use in areas approved for an exception.
