OA and Faculty will use AIM throughout the interactive process. Please enter the AIM Instructor Portal to see an overview of all the students in your class who have requested their Letter of Accommodation (LOA). You will also have the ability to identify how many students receive a specific accommodation in your course(s). This can aid you in developing universally designed materials for the class that are accessible and usable by all.
For students using the OA Test Center, faculty will need to complete an Alternative Testing Agreement and upload the exam prior to the student’s appointment. Appointments will not be finalized without both components.

Greetings from the Office of Accessibility at Winthrop University. This video is for Winthrop instructors to help guide you through completing (and if necessary) modifying an Alternative Testing Agreement.
The Alternative Testing Agreement is a form that communicates your parameters and expectations for students that are testing in the OA Test Center. This form includes, time limits, approved materials and other information that the Test Center staff needs to know in order to proctor your student. Please note that we are unable to proctor any student with an Alternative Testing Agreement in place.
A question we often get asked is "How do I know if I need to complete an Alternative Testing Agreement?". As previously mentioned, all students who are testing in the OA Test Center need to have an agreement in place. Any student who intends to use their exam accommodations for your class should have already sent you their Letter of Accommodation(s). Notifications of these letters are sent via email to your Winthrop email address. This letter will outline the approved exam accommodations for the student. Once a student sends out their Letters of Accommodation they are able to begin scheduling testing appointments with the OA Test Center. If a testing appointment is scheduled and an Alternative Testing Agreement is not in place, AIM will automatically send you an email indicating the agreement needs to be filled out. As testing dates approach, if we are still missing your Alternative Testing Agreement, the Test Center staff will reach out to you directly to remind you to complete the agreement.
You can being the Alternative Testing Agreement process by logging in to the Instructor AIM Portal. Links to the portal can be found on the OA website, in email signatures of Test Center staff and in the AIM automated emails you receive. Your log-in credentials are the same as you would use to access your Winthrop email and Wingspan accounts. To log-in to the faculty portal through the Winthrop website, you will start at the main Winthrop page, winthrop.edu. In the top right-hand menu, under "Academics" find "Resources and Support Services". Then in the left hand menu, click on "Accommodations". Now you are on the Office of Accessibility's webpage. In the left-hand menu here, find the Test Center and then click on "Faculty Information." On this page you will find a direct link to the "Instructor AIM Portal." Now you will log-in using your Winthrop credentials.
Once you have logged-in using your Winthrop credentials, please read the reminders that populate in the yellow box. Once you are ready, click "Continue to View Student Accommodations". Now that you are logged in, you need to navigate to the Alternative Testing page. The "Alternative Testing" page can be found in the left-hand menu under "Views and Tools". Once you are here, you can going to find the box labeled "Specify Alternative Testing Agreement". And then select the class from the drop-down menu for which you would like to complete the agreement. When you are ready, click the button that says "Continue to Specify Alternative Testing Agreement".
Now a series of questions will appear for you to answer. Please be sure to answer all questions completely, or your agreement will not submit. For question 1, we ask that you input all of the dates and times, including finals for the semester. If you need to modify this agreement at a later date, you will be able to do so. For question 3, regarding supplemental materials, we ask that you specify details as requested. This way Test Center staff knows exactly what you allow during testing. Once you have completed the form in it's entirety, click the button "Submit Alternative Testing Agreement".
If you have multiple sections fo the same course you can even copy the agreement information from one section to another. To do this you must have already completed an Alternative Testing Agreement for one of your sections. And you will go back into the Alternative Testing tab on the left side and find the box titled "List Alternative Testing Agreement". This box is usually located directly below the "Specify Alternative Testing Agreement" box. In this box you will use the drop-down box to select the class you have already completed the agreement for. Then use the drop-down box in the "Copy to" line to select the class you want the agreement copied to and then click the "Copy " button.
This same section can also be used to modify an existing agreement. If you need to make a change use the drop-down menu in the "Select" line for the course that you would like to edit. And then click on "View". When you are done making the edits necessary, please be sure to click the "Update Alternative Testing Agreement" button.
In the instance you need to change the directions for only one exam. (For example, only allowing a calculator on exam #2.) On the Alternative Testing page, you will go to the yellow box labeled "Step 1 - Select Action". From the drop-down menu, you will choose "Specify Exam Instructions". Then in Step-2 you will select which test that these specific instructions apply. This table will populate with student names and dates to the right when students have scheduled exams with the Test Center. However, this video exempted this information for privacy reasons. So when you know which tests, you would like to update, select all that apply and then you will scroll down to "Step 3 - Confirmation" and click "Confirm Your Selections". When directed to the open-text box, please explain why the exam is different than what you put on the Alternative Testing Agreement, then click the "Submit Exam Instruction" button.
As this video comes to a close, we would like to leave you with a couple of reminders. You must click the "Continue to Student Accommodations" button to acknowledge you have read the reminders each time you log-in to the Instructor AIM Portal. The options on the left-side will not appear until you complete this step.
Completely answer any questions that have a red asterisk or your agreement will not submit. Before exiting your screen, please scroll up and down to make sure there are no error messages present.

Then in "Step 2 - Select from the Following Courses", you will check the box next to each student who should receive the exam you are uploading. This table will populate with student names and the dates of the exams they have requested with the OA Test Center. However, this information has been exempted from this video for privacy reasons. Once you have selected which exams you would like to upload, using the check-box feature, you will scroll down to "Step 3 - Confirmation" and hit the button labeled "Confirm Your Selections".
This will take you to a new screen that will allow you to browse for the file you want to upload. Once you have selected the correct file, click on the "Upload Exam" button. A message with a green check-mark will appear at the top of the screen that says "Exam was Successfully Uploaded" if there were no issues. As the message also states, only one file can be uploaded at a time and you will have to go through the file upload feature again to add additional items such as a formula sheet. You can also verify a file has been uploaded by going back into the "Alternative Testing" tab and scroll to "Step 2" and click "View Details" by the student's name to see if your exam is there and opens properly.
There are two common errors that faculty receive when they try to upload tests to AIM. The first error is a form submission error. This will be in place of the green check-mark. This error occurs when you have not entered an appropriate exam note or name, or the file was not selected through the "Choose File" feature. Please refresh the page and try again. The other error faculty often receive is the "404 error". This error means that your AIM session has timed out, so please log-in again and try to upload the file. If you continue to receive any of these errors after multiple attempts, please contact our office.
Please note that a student has to have scheduled an appointment with us for you to upload an exam to AIM. If you do not see a student's name or an exam date that you expect to see on the table provided in the "Alternative Testing" tab, this means that the student has not scheduled an exam with the OA Test Center and therefore you cannot upload an exam.
With the instructor AIM Portal, we will securely upload completed tests from students who have used the Test Center. AIM will automatically send you an email to alert you when a completed test is available for retrieval. We recommend that you do not use the code that is provided with the initial email since you only have 20 minutes from the time the email is sent to use that particular code. Instead we suggest you go through the following steps to receive a new code.
Once you are logged in to your AIM account, in the left-hand menu click on "Alternative Testing", under "Views and Tools". Above the "Specify Alternative Testing Agreement" box on the top right side, there are three options. Select the "Completed Exam Files" option. Scroll near the bottom and select "View" in the row with the student's name in the "Completed Exams" section. Once you click view, it will send you a code to your Winthrop email account. Enter that code in the box and then click "Verify Code". This code is only good for 20 minutes, so it is best to complete the process right away or you will have to go through these steps again.
